The short version: We collect only what's necessary to run the service. Your leads belong to you and are never shared with other agents or third parties. Conversations are processed by Anthropic's API which has zero data retention. You can request deletion of your data at any time.

RealtorRaptor ("we," "us," or "our") operates the RealEstateChat platform — an AI-powered chatbot and lead capture service for real estate professionals. Our service is available at realtorraptor.com and via embeddable widgets on agent websites.

2. Information We Collect
From Real Estate Agents (our customers)
- Name, email address, and business information during account setup
- Payment information — processed securely by Stripe, we never store card numbers
- Chatbot configuration (agent name, colors, custom FAQ)
- Notification email and CRM webhook URLs
From Website Visitors (leads captured by agent widgets)
- Name, email address, and phone number — only when voluntarily submitted via the lead form
- A summary of their chat conversation at the time of lead submission
- The URL of the page where they chatted
- Timestamp of submission
Automatically Collected
- Basic usage statistics (number of chat sessions per agent, per day)
- Standard server logs (IP address, browser type, request timestamps) — retained for 30 days
3. How Conversations Are Processed
Important: Chat messages are sent to Anthropic's API to generate AI responses. Anthropic operates under a strict zero data retention policy for API usage — conversation content is not stored by Anthropic and is not used to train their models. You can verify this at anthropic.com/privacy.
Conversation history is held temporarily in server memory during an active session to maintain context. It is not written to a database unless the visitor voluntarily submits the lead capture form, in which case a conversation summary is stored alongside their contact information.
4. How We Use Your Information
- To provide and operate the chatbot service
- To deliver lead notifications to the appropriate agent
- To process payments and manage subscriptions
- To respond to support requests
- To send service-related emails (no marketing without consent)
- To improve reliability and debug technical issues
5. Data Ownership & Isolation
Each agent's leads are stored separately and are accessible only to that agent (via their unique Agent ID and our admin authentication). We do not share, sell, or cross-reference lead data between agents.
Your leads are yours. You can export your full lead list as a CSV at any time from your dashboard. You can also request permanent deletion of all your data by contacting us.
6. Data Sharing
We do not sell your data. We share information only in these limited circumstances:
- Anthropic — to process chat messages via their API (zero retention policy applies)
- Stripe — to process subscription payments securely
- Your designated webhook URL — lead data is sent to CRM/Zapier endpoints you configure
- Law enforcement — only if required by valid legal process
7. Data Security
- All data is transmitted over HTTPS/TLS encryption
- Lead data is stored in Supabase with Row Level Security enabled
- API keys and secrets are stored as encrypted environment variables
- Admin endpoints require authentication tokens
- We conduct regular security reviews
8. Data Retention
- Lead data — retained for the duration of the agent's subscription plus 90 days after cancellation
- Agent account data — retained until account deletion is requested
- Server logs — automatically deleted after 30 days
- Chat conversations — not retained (session memory only, cleared after session ends)
9. Your Rights (GDPR & CCPA)
Depending on your location, you may have the right to:
- Access — request a copy of your data
- Correction — update inaccurate information
- Deletion — request permanent removal of your data
- Portability — receive your data in a machine-readable format (CSV export available in dashboard)
- Objection — object to certain processing activities

10. Cookies
Our marketing website uses minimal cookies for analytics (page views, traffic sources). The chatbot widget does not set any cookies on agent websites. We do not use advertising or tracking cookies.
11. Children's Privacy
Our service is not directed at children under 13. We do not knowingly collect personal information from children. If you believe a child has submitted information through our service, contact us immediately.
12. Changes to This Policy
We may update this policy from time to time. We will notify agents of material changes via email at least 14 days before they take effect. The "last updated" date at the top of this page reflects the most recent revision.
